5 things you need to know about call recording

Call recording

When you answer a call using VoIP telephony, you can choose to record it to a sound file. There’s no need to click anything on your computer, and you don’t need to stick a strange little microphone on your handset. Nimvelo digitally records your calls and archives them for as long as required, giving you plenty of time to listen back and download them.

Some providers charge per minute for call recording. With Nimvelo, you can use it for free. Here are five important things you should know before you start using this handy feature.

1. You need an extension first

When you set up call recording with Nimvelo, you configure the service on each phone extension. That means you can record calls coming to you, while disregarding calls to a colleague – or vice versa.

Note that call recording can only be activated on a Regular Extension. While Nimvelo lets you create Virtual Extensions where you only need to forward calls out to an external number, these extensions are more limited in functionality and don’t include all the advanced features of a Regular Extension. We can still record calls that have been forwarded to a mobile or other number, but you’ll need to use a Regular Extension in order to do so.

2. You can switch call recording on by default

Nimvelo’s easy to use admin portal lets you turn call recording on for each extension. If enabled by default, every call that is made or received will be recorded.

This automatic recording is ideal if you have a compliance requirement for call monitoring, or if you want to use the calls for training purposes. It’s also handy if you answer calls hands-free.

3. You can trigger recording on demand

Having all calls recorded is a convenience for many business users, but there are times when it could be an invasion of privacy. If a colleague takes their VoIP number on holiday to receive calls from different numbers, they may not want personal calls recorded alongside their business conversations.

With Nimvelo, you can choose to have call recording on demand. Once enabled on the extension, dialling *1 starts the recording. It can also be paused in the same way, allowing you to toggle recording on/off as required. This gives you the versatility you need to use one extension for multiple purposes.

4. Calls are kept for as long as required – then they’re gone

When a call is recorded, it will be saved on the Nimvelo servers for a period of time specified by you in the portal. Once this passes, we will delete the call without notice.

If there’s a call you want to keep, you must log in and download it to your computer before the system deletes it. From the dashboard, click the Account drop-down list, then click Call Recordings, and select the relevant month to search for a call to download.

5. Call recording works on any phone, anywhere

Whether you connect to Nimvelo using your softphone app, a desk phone, or forward calls to another number, call recording will work across the board. The only prerequisite is that you’re using a Regular Extension, not a Virtual Extension. If you are, it’ll work.

That means you can have every call filed for easy retrieval later. If you’re on the go without a pen and paper, you can refer back to the call later for information. If you need to keep client calls on file, simply download and archive the recording.
